Sales CRM

Custom B2B wholesale portal, sales CRM, multi-unit inventory, manufacturing POs, and financial ERP.

B2B Wholesale CRM & Financial ERP

Platforms: Web / B2B Customer Portal / Operations & Financial ERP

The problem

The company was running its wholesale operation across Jotform, Pipedrive, spreadsheets, Square, ShipStation, Gmail, and QuickBooks. Nothing synced automatically, forcing the team to manually update almost everything across every tool—leading to inventory drift, double-allocated stock, rep territory collisions, and zero visibility into true net margin.

The goal

Streamline wholesale ordering by predefining each customer’s pricing, payment terms, sales rep, and shipping preferences—then automate the entire pipeline from rep order and admin approval to payment, tracking, and delivery.

Engineering contribution

17-module B2B wholesale portal and operations ERP covering 5-tier contract pricing, Gmail-synced CRM, sample pipelines, multi-UOM row-locked inventory, 5-stage manufacturing POs, 51-state compliance, and integer-cent AR/AP & P&L.

Loop 1: Prospect → Sample Kit → Approved Buyer

When sales reps log in, their dashboard immediately surfaces newly assigned accounts, leads needing follow-up, overdue Net-terms invoices to collect, and customers most likely ready to reorder. Reps sync Gmail threads and move prospect sample kits from Pending Approval → Print → Pick & Pack → In Transit → Delivered → Place Order, converting prospects into approved wholesale buyers with predefined terms.

Loop 2: B2B Ordering, 5-Tier Pricing & Compliance Gates

Buyers place orders via the B2B Portal (live catalog, Quick Order Matrix, Saved Reorder Lists) or through their sales rep using predefined account settings. Checkout resolves the 5-Tier Priority Pricing Engine (Contract Override → Org Price Book → Group Tier → Default Wholesale → Active Promo) and enforces 51-state product legality, license expiration dates, Lab COAs, state excise taxes, and Prepaid/COD/Net-30 credit limits.

Loop 3: Invoicing, Payment & 5-Stage Fulfillment

After a rep submits an order, admin double-checks the shipping cost and approves it. The order is automatically sent to the customer to get paid; once paid, it moves to the shipping department (Pending Payment → Print Inv/Ship → Pick & Pack → In Transit → Delivered). Generating a tracking number automatically transitions the deal to In Transit until carrier webhooks confirm Delivered—recording Time in Stage, Time to Ship, Time in Transit, and total Order-to-Delivery time.

Loop 4: Demand Forecasting → 5-Stage PO → FIFO Receiving

Pessimistic row locks (`lockForUpdate`) synchronize stock across Individual Units, Display Boxes (5PK/10PK/25PK/100PK), and Master Cases, plus bulk liter-to-piece manufacturing conversions. The Demand Planner computes 60d/14d velocity, Days on Hand (DOH), and Demand Acceleration Index (DAI) to prefill 1-click UOM-converted supplier POs tracked across 5 stages (Raw Materials → Ship Raw → MFG → Ship FG → Check In), automatically allocating checked-in stock to waiting backorders in FIFO order.

Loop 5: Post-Delivery Claims, Commissions & AR/AP Cash Flow

If a shipment arrives short or damaged, the Claims Resolution Engine records the discrepancy with Fault Attribution (Warehouse, Sales Rep, Carrier, Manufacturer, or State Ban) and manager approval gates—automatically generating a $0 Reshipment Packing Slip, issuing a Credit Memo, processing an RMA restock, or writing down the invoice balance. Simultaneously, Forecast AR/AP combines weekday-weighted expected wholesale revenue, open invoice installments, supplier PO milestones, recurring overhead bills, rep commissions, and Internal Shipping Audit & P&L into a daily Net Cash Flow projection.
